How We Work
A key distinction of our company and our approach to implementing BAS Document Management CORP is the use of modern principles and the Agile software development and implementation methodology.
Using the Agile approach allows us to:
-
Launch projects quickly without lengthy approval procedures.
-
Implement the system in stages with clear intermediate results.
-
Quickly adapt functionality to changing business requirements.
-
Minimize risks and control the budget.
-
Ensure transparency at all stages of implementation.
We work in short iterations (sprints), coordinating results with the client at each stage. This allows us to implement projects of any complexity in a short time — from basic setup to comprehensive enterprise document management automation.
The table below shows the main implementation stages and their relationship with Agile principles
| Implementation Stage | Result | Timeframe, man-hours | Agile Principle |
| Survey of the enterprise, including interviews with key employees who are responsible for (owners of) document management processes, filling out basic directories, developing a classifier of enterprise documents. (We use the author’s survey methodology, developed and tested by our specialists) | A brief report (proposal) outlining the sequence of implementation (documents, processes) | 40 – 60 | Close, daily communication between the customer and developers throughout the entire project; the recommended method of information transfer is direct face-to-face conversation |
| Development of a Process (Document) Passport and its approval with the client. We do not create large volumes of documentation that no one reads | A Process Passport (5–6 pages), which serves as a “lightweight” technical specification for further automation | 8–10 (per process) |
|
| Process configuration in the system (workflow setup, development of file templates, document templates, and document types), as well as process testing under possible change scenarios | A functioning workflow in the system, including document and file templates | 18 – 24 (per process) |
Continuous adaptation to changing circumstances. |
| Development of user instructions to improve users’ skills and knowledge of the system | User guides for participants involved in the processes | 4 – 8 (per process, depending on its complexity) |
Continuous attention to improving technical excellence |
| We do not train users using general system instructions. Instead, we provide training tailored to each user and each specific process. During the training, we also analyze practical feedback and suggestions from users | Qualified users of the system | 4–6 for each process (depending on the complexity of the process and the number of participants) |
The team should regularly analyze possible ways to improve efficiency and adjust its workflow accordingly |
| Adjustment of processes, instructions, and process passports based on training results and feedback received | An efficient and fully functioning process | 6 – 8 (per process) |
We welcome changes in client requirements even at late stages of development, as this can increase the competitiveness of the final product. |
| Phased launch of configured processes (documents). We do not wait for the entire project to be completed | Rapid start of production operation |
Customer satisfaction through early and continuous delivery of valuable software; frequent delivery of working software (monthly, weekly, or even more often); working software is the primary measure of progress |
The main principle of implementing a document management system is moving from simple to complex. That is why we begin automation with processes and documents that are relatively simple and less critical to the company’s operations (for example, internal memos, etc.), while involving the maximum number of users. This approach helps improve employees’ skills in working with the system and reduces the “psychological” stress when transitioning from paper-based to electronic document management. As a result, it significantly increases the chances and effectiveness of implementing more complex documents and processes in the future.
Our team consists of highly qualified specialists with extensive experience in implementing systems of this class across various industries.
